How to Write a BIO: What Is a Professional Bio?
Table of content

A professional bio is a short yet informative note containing the most important details about you, your work, and your achievements. A BIO is useful in many situations—from social media and industry publications to websites. How do you write a BIO that is professional, convincing, and effective?

What Is a BIO?

A professional bio, or BIO for short, is a brief note containing the most important information about you and your work.

The purpose of a bio is to introduce you in a few words or sentences. It is your calling card online, helping you reach potential clients.

A good BIO should be clear, specific, and tailored to the context in which it will be used. Depending on your needs, it can have a different style, format, and length.

Where Can You Use a BIO?

A bio can serve many purposes. Here are the most common places to publish one:

  • social media – LinkedIn, Instagram, X/Twitter, Facebook, and Pinterest;
  • websites – an “About Me” page, blog, or portfolio;
  • resumes and cover letters – as a brief professional summary;
  • publications and articles – author bios in magazines and industry portals;
  • conferences and webinars – to introduce a speaker.

What Does a Bio Include?

Although a bio can take many forms, it usually consists of several key elements:

  • first and last name – an essential element that helps readers identify you quickly;
  • photo – a professional, up-to-date photo builds trust and recognition;
  • professional description – a few sentences about you and your work;
  • contact details – an email address, phone number, and, if relevant, business address;
  • links – for example, to your portfolio, website, or social media profiles;
  • hashtags and keywords (optional) – if your BIO is used on social media, consider adding a few relevant phrases to improve your profile’s visibility.

How Long Should a Bio Be?

The length of your bio should match the place where it will be published. You can prepare three versions of your bio:

  • short bio (up to 150 characters including spaces) – most often used on social media platforms such as Instagram, X, Pinterest, and Facebook. Include your first and last name, current role, professional goal, and greatest achievement in a concise format;
  • medium-length bio (around 300–500 characters including spaces) – works well on LinkedIn, at conferences, and in industry publications. This version is more like a resume. Include your name, current role, company or personal brand, ambitions and goals, greatest achievements, and the “something” that sets you apart;
  • long bio (1,000–2,500 characters including spaces) – ideal for the “About Me” section of your website. It can include a detailed career history, professional mission, and the values that guide you. The content is largely up to you, since character limits are usually less restrictive.

How to Write a Bio

A good BIO is more than just a collection of facts about you. It is your calling card and can open the door to new opportunities—clients, employment, or greater visibility. The key is not only what you say, but also how you present it.

To create an effective bio, follow these key principles:

  • start with the most important information – the first sentences should immediately explain who you are and what you do. Mention your education, completed courses, and experience;
  • highlight what makes you different – do not limit yourself to your job title. Mention the unique skills, achievements, or specialization that set you apart;
  • describe your goals, ambitions, and aspirations – explain what matters to you, where you see yourself in a few years, and what you want to achieve;
  • adapt the length to your audience – brevity matters on Instagram, while LinkedIn allows room for several sentences, and your website is a good place to tell a fuller story;
  • add contact details and important links – if your BIO is meant to support new business, include an email address, phone number, website, or social media links;
  • write in the first or third person singular, depending on the nature of the bio. On social media, introduce yourself in the first person (I’m a marketing strategist…). For press notes or author bios, you can use the third person (Emily Carter is a marketing strategist…);
  • make it easy to read – nobody enjoys reading long blocks of text. Short sentences, paragraphs, and bullet points make a BIO easier to absorb;
  • show your personal side – people are more likely to connect with those who seem authentic. Mention your passions, interests, or favorite ways to spend your free time to make your BIO more engaging and memorable.

It is also useful to have one universal BIO that you can modify depending on the publication channel and audience. This will help you maintain a consistent message.
